The purpose of an RFQ is not simply to collect prices; it is to obtain comparable offers for the same scope.
Missing or ambiguous information causes manufacturers to make different assumptions, which weakens both price comparison and award decisions.
Make the technical scope unambiguous
Drawings, revisions, material grades, tolerances, welding and surface-treatment requirements should be consistent within one controlled package.
State inclusions and exclusions
Material supply, fasteners, NDT, galvanising or painting, packing, internal transport and loading responsibilities should be explicit.
Define delivery and quality expectations
Incoterm, target date, delivery point, quality records and final documentation requirements can materially affect price and lead time.
Standardise the quotation format
Requesting unit price, total price, lead time, validity, payment terms and exceptions in one format makes commercial comparison more reliable.
